Document Requirements
Formatting and filing standards for recordable instruments

- An instrument must be signed and acknowledged by the grantor. Signatures must be original. All parties required to sign must do so before a notary. The notary seal must be clear and dark enough for recording. Names should be printed or typed beneath signatures.

- Instruments must be in the English language in order to be recorded or must be accompanied by a certified translation.

- Submit documents on white paper that is no larger than 8.5 x 14 inches and no smaller than 8.5 x 11 inches. Paper needs to be of a sufficient weight and substance so that printing, typing, or handwriting will not bleed through.

- Use a font size of at least 8 point. Printing or typing must be clearly legible.

- The recording stamp goes on the last page of the document. Provide sufficient space for the stamp, at least 3 inches at the bottom, unless directed otherwise by the County Clerk.

- Provide a heading on the first page that identifies the type of document.

- Riders and attachments must comply with the size requirements. Only one rider or attachment may be included in or attached to a page.

- The mailing address of each grantor and grantee named in the instrument must appear on the instrument or in a separate writing signed by the grantor or grantee and attached to the document.

- An instrument transferring an interest in real property to or from an individual must include the following notice that appears at the top of the first page in 12 point boldfaced type or 12 point uppercased letters: NOTICE OF CONFIDENTIALITY RIGHTS: IF YOU ARE A NATURAL PERSON, YOU MAY REMOVE OR STRIKE ANY OR ALL OF THE FOLLOWING INFORMATION FROM ANY INSTRUMENT THAT TRANSFERS AN INTEREST IN REAL PROPERTY BEFORE IT IS FILED FOR RECORD IN THE PUBLIC RECORDS: YOUR SOCIAL SECURITY NUMBER OR YOUR DRIVER'S LICENSE NUMBER.

- A legal description of the real property being conveyed is required to be present on the document.

- A correction instrument may correct an ambiguity or error in a recorded original, including an ambiguity or error that relates to the description of or extent of the interest conveyed.
